Privacy Policy

This Privacy Policy describes how Traxis Manufacturing LLC ("Traxis," "we," "us") collects, uses, and protects information in connection with the Traxis Manufacturing customer portal at portal.traxismfg.com (the "Portal"). The Portal lets our customers request quotes, review and accept quotes, track orders, and manage billing with Traxis.
Information we collect
- Account information — your name, business email address, company, and phone number, provided when an account is created for you or when you submit a request for quote.
- Business transaction data — requests for quote, quotes, purchase orders, order and shipment status, invoices, and related messages you exchange with us through the Portal.
- Uploaded files — engineering drawings, specifications, and other documents you upload with a request for quote or order.
- Usage and security data — log data such as IP address, browser user agent, and timestamps of security-relevant actions (for example sign-ins, downloads, and record changes), kept in access and audit logs.
Cookies
The Portal uses cookies only to keep you signed in (authentication session cookies) and to protect sign-in and connection flows against forgery. We do not use advertising or cross-site tracking cookies. We use Vercel Analytics to understand aggregate page usage; it does not use cookies and does not track you across sites.
How we use information
- To provide the Portal: prepare quotes, process orders, show order and billing status, and deliver notifications you'd expect (quote ready, order shipped, invoice available).
- To operate our business: production planning in our ERP system, invoicing, and accounting.
- To secure the Portal: authentication, abuse prevention, and troubleshooting using error and audit logs.
- To communicate with you about your quotes, orders, and account.
We do not sell personal information, and we do not use your information for third-party advertising.
QuickBooks Online connection
Traxis connects the Portal to Traxis's own QuickBooks Online company (an Intuit Inc. service) to keep billing information consistent — for example, to show whether an invoice has been paid. About this connection:
- The connection is authorized by Traxis for Traxis's own accounting records. Portal customers are not asked to connect their own QuickBooks accounts.
- Data obtained from QuickBooks (such as invoice and payment status) is used solely to provide Portal functionality, is shown only to the customer the record belongs to and to authorized Traxis staff, and is never sold or shared with third parties.
- QuickBooks access credentials (OAuth tokens) are encrypted at rest, are never displayed or logged, and can be revoked by Traxis at any time from within the Portal, which fully revokes the authorization with Intuit.
- Intuit's handling of data within QuickBooks is governed by Intuit's own privacy statement.
Service providers
We use a small number of service providers to run the Portal. They process data only to provide their services to us:
- Supabase — database, authentication, and file storage.
- Vercel — application hosting and aggregate analytics.
- Resend — transactional email delivery (quote, order, and account notifications).
- Adion Systems (ProShop ERP) — our manufacturing ERP, where quotes, orders, and production records are managed.
- Intuit (QuickBooks Online) — our accounting system, as described above.
- Document processing services — uploaded files may be processed using automated tools, including third-party cloud AI services, to extract part and quote information. See the upload notice shown in the Portal before uploading.
We may also disclose information if required by law, or to protect the rights, safety, or property of Traxis, our customers, or others.
Export-controlled information
Do not upload files containing ITAR- or EAR-controlled technical data, classified information, or other export-controlled material to the Portal. If your project involves controlled data, contact sales@traxismfg.com before sharing any files so we can arrange an appropriate transfer method.
Security
All Portal traffic is encrypted in transit with HTTPS/TLS. Data is encrypted at rest by our hosting providers, and sensitive credentials (including QuickBooks tokens) are additionally encrypted at the application layer. Access to customer data is restricted by role-based access controls and row-level security, and security-relevant actions are logged.
Data retention
We retain quotes, orders, invoices, and related records for as long as needed to serve you and to meet legal, accounting, and quality requirements that apply to a manufacturing business. Account information is retained while your account is active. You may request deletion of your account or of information we are not required to keep by contacting us.
Your choices and rights
You can review and update your profile information in the Portal, and you can contact us at any time to access, correct, or request deletion of your information, or to close your account.
Changes to this policy
If we make material changes to this policy, we will update this page and revise the effective date above.
